Events Coordinator
(~2-6 hours per week)

What will you do?
Events within Librae can be divided into a few coordinator roles, each linked to one of our key programs. You can choose one event to own, co-lead an event with someone else, or combine a smaller event role with another board role (for example Partnerships or Outreach), depending on your availability. The goal is always the same: make the event run smoothly, together with the team.
Networking Dinner Coordinator (event date: 28 May)
Time: 2–4 hours/week for ~4 months, with a peak in the final weeks. Responsibilities include:
Invite and confirm role models, keep them informed and prepared
Manage registrations/RSVPs and participant communication
Coordinate practical logistics (venue, catering, seating plan, run-of-show, day-of flow)
Mentorship Program Coordinator (occurs once per semester)
Time: 3–5 hours/week for ~5 months during peak phases, lighter outside peaks
Coordinate registrations and matching (mentor and mentee)
Manage communication, changes, and key moments in the program
Ensure the program timeline runs smoothly and participants stay engaged
Symposium Coordinator, Rewrite HERstory (event date: 30 April)
Time: 3–6 hours/week, ramping up closer to the event. We have already defined the scope and overall concept. Your responsibilities would include:
Reach out to and confirm keynotes and workshop facilitators aligned with the theme
Coordinate session planning and speaker logistics (briefings, schedules, materials)
Manage suppliers, volunteers, and day-of logistics to deliver the program smoothly
Coffee & Career Day Coordinator (event date: June 2026)
Time: 3–6 hours/week, ramping up closer to the event. We have already defined the scope and overall concept. Your responsibilities would include:
Confirm workshop facilitators and align on workshop content needs
Coordinate registrations and program logistics (schedule, rooms, materials, on-site flow)
Manage day-of logistics together with the team and volunteers
Who are you?
You are a structured and hands-on organizer who enjoys bringing people together through well-run events. You’re comfortable coordinating multiple stakeholders, keeping track of timelines and details, and ensuring a smooth experience for participants from start to finish. You communicate clearly, adapt easily, and take ownership of your event from planning through evaluation. You are available for 8-12 hours a week, for at least 1 semester.
